Owner’s Consent Notice, Voting, Elections & MeetingsThe Oak Hill HOA Policy for Notice, Voting & Meetings, was passed on November 12, 2024. This allows for Electronic Transmission of Votes and Proxies. It also allows some Meetings to be held via Electronic means, if desired.
Allowed Future Voting Methods:
- Electronic Transmission of Votes and Proxies
- Electronic voting is an alternative form of voting that Unit Owners may elect to use.
- Unit Owners who wish to vote Electronically must fill out the enclosed Owner’s Consent Form and mail to Danella using USPS. (Danella's Address is at the bottom of this email)
- It is important to know that the email address that was submitted on the Consent form, is the only email address that will be permitted to vote in the election. It is the responsibility of the Unit Owner to keep the email address current.
- Voting by Paper Ballot:
- To vote by Paper Ballot, the Ballot must be mailed to Danella using USPS. It is important to note that the ballot must be received by Danella on or before the designated date.
- Ballots submitted by email will no longer be accepted or counted.
Please mail the Owner’s Consent Form by the deadline of March 31, 2025, to have Electronic Voting turned on for your Account.
(The deadline has been extended from the 10th to March 31st, to ensure all get processed before the Paper Ballots are Mailed.)
Advantages:
- Easier, no stamps and no relying on USPS delivery.
- Safe and Secure - No one can see or alter whom you voted for. All counts take place within the Election Module and only the totals per candidate are presented to Danella.
- Voting dates and deadlines are strictly adhered to.
Fine Print – If you have opted in to vote electronically, but are unable to do so, you may submit your vote by Mail-in-Ballot. Of course, you may not vote by both Electronic Ballot and by Mail-in-Ballot. If this should occur, the Electronic Ballot will stand and the Mail-in- Ballot will be discarded.
How to Vote Electronically:
- Once your Consent form is received by Danella, Electronic Voting will be turned on in the Member’s area of the https://OakHillHOA.org website.
- You will need to be able to login to the Member’s area when it is time to vote. If you have not logged in recently, test it to be sure that you can get into the Member’s Area. If you are having trouble logging in, try “Reset Password” or send an email to admin@oakhillhoa.org for login assistance.
- The email address on your consent form will receive an email from the Oak Hill website when the election goes live.
- Click the link within the email to cast your ballot (The link will take you to the Ballot after providing your login info to the Member’s Area)
- Check the boxes for your preferred candidates.
- Type your name to represent your signature.
